Process a Summary of Purchases workbook
Understand workbook parsing, supplier and tax resolution, withholding, held rows, and draft bills.
In this guide
A supported Summary of Purchases is read as transactions, rather than handed to Juan as one document. The figures and withholding information stated in the workbook drive this workflow.
Submit and inspect the workbook
- Open Files → Purchases in the correct active company.
- Upload the workbook through Add documents, or let the purchase-folder sweep collect it.
- Open the workbook from the file list or Workbooks view.
- Compare the extracted transaction rows and totals with the source worksheet.
- Open held rows and address the stated reason before sending.
The workbook keeps worksheet and row references, so an accountant can trace a transaction back to the supplied summary. Multiple source lines can form one transaction; do not assume every spreadsheet row must produce a separate bill.
Checks before sending
Mendiola checks the sheet's own arithmetic, resolves the supplier using its TIN, resolves a purchase-side tax profile, and carries the stated withholding treatment and BIR ATC where supported.
An unresolved account, tax profile, supplier, or conflicting amount is held for a person. It is not filled by an unreviewed guess. The workbook workflow can create supplier contacts in Juan as part of its supported resolution process.
These controls belong to the spreadsheet road. A PDF purchase document instead goes to Juan's extractor, which decides the booking.
Resolve a held transaction
Read the issue beside the affected transaction and compare it with the source row. Where an editor is offered, supply the correct mapping or figure and save. If the source itself is wrong, obtain the corrected summary and follow the displayed processing instructions.
Check sending state before retrying or replacing a workbook. Existing transaction keys and archived rows are retained to avoid silently sending the same recorded line again.
Results and limits
Eligible transactions follow the company's sending controls and become drafts in Juan. Review those drafts before approval. The workbook's withholding treatment is not a replacement for an accountant checking that the client's classification and ATC are correct.
Sales summaries must be uploaded on Sales. Their customer references, tax profiles, and withholding behavior differ from purchases.
