Understand purchase invoice vouching

Review evidence-backed BIR paperwork checks, unknown facts, corrections, and the limits of a passing result.

In this guide

Invoice vouching checks a supplier's paperwork against Mendiola's cited BIR form rules. It applies to purchases when the company's pipeline is configured for vouching. Sales are excluded.

Read the result with its evidence

  1. Open the purchase file and inspect the source preview.
  2. Read each finding and its linked legal basis.
  3. Check the printed evidence supporting the extracted fact.
  4. Distinguish a failed requirement from a fact that could not be established.
  5. Follow the required review or correction action before attempting to send.

Facts read from the source take precedence over company context or declared assumptions. An assumed value does not prove that a supplier printed the right information. Missing evidence must remain visible rather than turning into a pass.

Corrections and review

Use the review's correction controls when the extracted value disagrees with the document. Give the reason requested and check the resulting evaluation. A correction is recorded; it should state what the source supports, rather than make the paperwork say what the transaction needs.

If the document is unreadable or required facts are missing, obtain better evidence. Changing company defaults is not a way to override printed supplier facts.

Company controls still apply

The admin's pipeline and review settings decide how vouching participates in sending. Review-all behavior requires a person's review even when automated checks find no issue. Handoff-only companies pass the source to Juan without Mendiola's vouching step.

A file evaluated under an older source, correction, rule version, or configuration can need a fresh review. If the page says the result changed, reload and review the current evidence before acting.

What a pass establishes

A pass concerns the rules and evidence actually checked. It does not choose bookkeeping accounts, calculate the transaction for Juan, guarantee tax deductibility, or certify that all legal requirements beyond the checker's coverage have been met.

The built-in BIR skill in Firm brain contains the rule viewer and legal sources. The file is where its own findings and review history belong.
