Maintain supporting knowledge and account meanings

Group account names by meaning and maintain reviewed firm references without changing the company's books.

In this guide

Admins use Firm brain → Supporting knowledge to maintain reference material such as industries, account meanings, company account mappings, and reviewed templates. These references provide context; they are not transactions posted to Juan.

Account meanings

Different companies can use different chart names for the same accounting concept. An account meaning groups those names deliberately instead of assuming that every similar label is equivalent.

  1. Open Supporting knowledge as an admin.
  2. Review or create the appropriate Account meaning.
  3. Map each relevant company account to the intended meaning through the offered controls.
  4. Check the saved mapping and affected results.

For example, an admin might decide that two differently named office-cost accounts represent the same meaning. The decision should follow the firm's accounting practice and the actual chart; matching names is not a substitute for that review.

Effect on Global Contacts

Where Global Contacts is available, accounts normally match across charts by normalized name. A reviewed meaning can group differently named accounts together, which can change company shares and the usual account displayed for a vendor.

That does not rename the chart in Juan or reclassify existing bills. Global Contacts currently describes observed patterns rather than automatically applying the displayed account to future transactions.

Templates and reference review

Keep proposed references distinct from reviewed ones. Before approving a template or mapping, inspect its purpose, scope, and company references. Do not embed a private company's evidence into firm-wide procedure text.

Access and limits

Supporting knowledge is admin-only. Company-specific evidence still follows company access, including owner-private boundaries. A firm-wide admin interface is not permission to inspect every private company's source.

These references do not become extracted invoice facts, replace the BIR rule store, or write bookkeeping entries. If an account in Juan itself is wrong, correct the books through the company's accounting process.
